Our service and your enquiry

Our service is for people in the UK looking for van insurance. This includes people who use a van for personal journeys, sole traders, tradespeople, couriers and carriers, and businesses running fleets. You must be 17 or over to use our quote form. It asks one question per screen.

When you submit the form, we pass your details to our FCA-authorised partner so it can contact you about a van insurance quote. Our partner provides the quote, explains the cover and arranges any policy you choose. Any advice comes from our partner.

Our partner is an independent controller. It is responsible for its own use of your information. Its own privacy notice explains that use and your rights.

You pay Vancova nothing. Our partner pays PJG Financial Limited a fee for introductions. Read how we make money for more information.

What the quote form collects

The form asks for:

  • Your van registration, or the make and model if you don't have a registration yet.
  • How you use the van.
  • Your trade or occupation.
  • The number of vans.
  • Where the van is kept overnight.
  • Your annual mileage.
  • Who drives the van.
  • The level of cover you want.
  • Your interest in tools cover.
  • The date you want cover to start.
  • Your years of no claims discount.
  • The number of claims or accidents in the last 5 years.
  • The number of motoring convictions or penalty points in the last 5 years.
  • How long you've held a driving licence.
  • Your date of birth and postcode.
  • Your name, email address and phone number.

Information about motoring convictions is criminal offence data. We handle it with extra care. We ask only how many motoring convictions or penalty points you've had, rather than details of the offences. We don't ask for health information.

Your answers before you submit

During the quote journey, we use your browser's session storage on your own device. It carries your van registration from the plate box on a page to the form. It also keeps your answers while you fill in the form, so a refresh doesn't lose them.

This information stays in that tab. It's removed when you close the tab or finish the form.

Your form answers reach us only when you press the final button to submit them. Answers left in the form without being submitted are never received by us.

Read our cookie policy for more about session storage and how to clear it.

Other information you give us

If you use our contact form, we collect your name, email address, message and any van registration you provide. If you contact us by email or post, we receive the information you choose to include.

You choose whether to provide personal information. The requested form details let us pass your enquiry to our partner so it can respond. Missing information may prevent the introduction or a quote from going ahead. We also need contact details to reply to a message. Our partner may ask for more information for its own service.

Information from your visit

Netlify hosts our website. It processes server logs containing your IP address, the pages requested and the time of the requests. This information helps deliver and secure the website.

We load fonts from Google Fonts. Your browser sends Google your IP address and browser details so it can deliver the fonts. This process doesn't set cookies.

Our website sets no cookies. We use no analytics, advertising or marketing tracking.

How we use your information

We use personal information to:

  • Pass your submitted enquiry to our partner so it can contact you about a quote.
  • Respond to messages and questions.
  • Keep necessary records of enquiries and introductions.
  • Deliver and secure the website and prevent misuse.
  • Handle complaints and requests about personal information.
  • Meet our legal and regulatory obligations.

We don't sell personal information to other organisations for their own marketing. We don't make automated decisions about you that have legal or similarly significant effects.

Our lawful bases

UK data protection law requires us to have a lawful basis for using personal information.

Legitimate interests

We rely on legitimate interests where processing is necessary to respond to your enquiry and make the introduction you've requested. These are our interests, your interests and our partner's interests in putting you in touch about a quote.

We also rely on legitimate interests where needed to reply to messages, keep proportionate records, deliver website pages and fonts, secure the website and deal with disputes.

We use this basis only where your rights and interests don't outweigh those interests. You can object by contacting us.

Criminal offence data

For motoring conviction information, we rely on legitimate interests and the insurance condition in Schedule 1 of the Data Protection Act 2018, paragraphs 20 and 37. This processing is necessary for an insurance purpose connected with your request. The insurance condition applies in addition to our lawful basis of legitimate interests.

Legal obligations

We use and retain information where needed to meet legal or regulatory requirements. This includes handling complaints, responding to data protection requests and keeping required records.

Who we share information with

We share your submitted enquiry with our partner for the insurance request you've made.

Netlify processes information to host and secure the site. Providers supporting our communications may also process information on our behalf where needed to receive and respond to enquiries and messages. Google receives the technical information described above to deliver fonts.

We may also share information where necessary with regulators, public bodies, the Financial Ombudsman Service or professional advisers. This may be needed to meet a legal obligation, investigate a complaint or protect legal rights.

International transfers

Some services, including Netlify and Google Fonts, may involve processing personal information outside the UK.

When we transfer personal information outside the UK, we use a lawful transfer mechanism. This may be UK adequacy regulations or approved contractual safeguards, with additional protections where needed.

Contact us for more information about relevant transfers or to request a copy of the safeguards that apply.

How long we keep information

We keep personal information for as long as it's needed for the purposes described in this policy.

  • We keep enquiry details while needed to make and manage the introduction and deal with related questions.
  • We retain necessary records of introductions, correspondence and complaints to meet regulatory requirements and deal with disputes. We take account of applicable legal time limits and any ongoing complaint or claim.
  • Server logs are kept for as long as needed to deliver and secure the website and investigate relevant incidents.

When information is no longer needed, we delete it or make it anonymous. Some information may need to be kept after a deletion request to meet a legal obligation or deal with a legal claim.

Our partner keeps its own records under its own privacy notice.

Security

We use appropriate technical and organisational measures to protect personal information against loss, misuse, unauthorised access and disclosure.

Your rights

Under UK data protection law, you may have the right to:

  • Ask for a copy of your personal information.
  • Ask us to correct information that's wrong or incomplete.
  • Ask us to delete your information.
  • Ask us to restrict how we use your information.
  • Object to processing based on legitimate interests.
  • Object to direct marketing at any time.
  • Receive information you've provided in a commonly used electronic format, or have it transferred to another organisation, where the right to data portability applies.
  • Withdraw consent at any time where processing relies on consent, without affecting earlier lawful processing.

Some rights apply in certain circumstances. We normally respond within one month, without charge. Where the law allows, we may extend this by up to two further months for a complex request or several requests. We'll tell you within the first month and explain why.

We may need information to confirm your identity. If your request concerns information already shared with our partner, we'll notify it where required. You can also contact our partner about its own use of your information.

Contact and complaints

To ask a question or exercise your rights, email hello@vancova.co.uk or write to PJG Financial Limited, 5 South Charlotte Street, Edinburgh EH2 4AN.

If you're unhappy with how we handle your information, please tell us so we can investigate. Our complaints procedure explains how to complain.

You also have the right to complain to the Information Commission's Office (ICO), the UK data protection regulator. Visit ico.org.uk or call 0303 123 1113.

Changes to this policy

We'll update this policy when the way we handle personal information changes. The current version will be published on this page.
